JOB SUMMARY

The purpose of the position is to assist and work with the Leisure Services Director to manage the marketing and scheduling of events at the Brannon Civic Center, Coronado Civic Center and the Women’s Club. Primary responsibility will be for the marketing, administration and operation of the rental facilities, including but not limited to booking year-round public and private events. The Civic Center Manager preforms administrative duties including coordinating operations and services, managing lease agreements for rental, keeping accurate financial records, on-site supervision of events, establishing and maintaining positive community contacts and public relations, and supervising adjunct staff.

 

ESSENTIAL JOB FUNCTIONS

  • Market the Brannon Civic Center, Coronado Civic Center and the Women’s Club to book events such as weddings, receptions, banquets, parties and business meetings.
  • Implement a variety of effective marketing strategies to secure year-round bookings.
  • Coordinates all operations of special events planning at the rental facilities.
  • Reviews client’s service contract for scope of service.
  • Contacts client to determine service needs including space requirements, equipment requirements and billing information.
  • Ensure client needs are met. Prepares and issues set-up and service requests to maintenance staff.
  • Monitors activity of all contract services for the client on each individual event, including food and beverage services, novelty merchandising and decorator services.
  • Facilitates necessary communications to ensure all events run smoothly and client is aware of changes associated with services provided.
  • Reviews space set up to ensure details of work order were followed.
  • Schedules and conducts all pre and post-event meetings with the staff and client.
  • Maintains continuous contact with clients to keep abreast of any changes in event, times, set-up requirements or other adjustments.
  • Monitors event; troubleshoots any problems.
  • Monitors costs incurred for the event.
  • Prepares billing for all assigned events.
  • Prepares event summary report.
  • Maintains client files.
  • Supervises, trains, and evaluates the work of paid and volunteer personnel of the assigned location.
  • Compiles turnstile, staffing, incident, medical, police reports and any other documentation pertinent to each event.
  • Monitors usage and prepares inventory reports.
  • Performs other duties as assigned.

 

MATERIAL AND EQUIPMENT USED

Computer, general office machines.

 

MINIMUM QUALIFICATIONS REQUIRED

Education and Experience: Bachelor’s degree with major course work in marketing or cultural/recreation, business administration or closely related fields. Three (3) years of progressively responsible related experience; or any combination of education, training and experience, which provides the required knowledge, skills and abilities to perform the essential functions of the job. A comparable amount of training or experience may be substituted for the minimum qualifications. Must be able to work a flexible schedule and be available during major events.

Licenses and Certifications: Valid Florida driver's license, CPR and First Aid

City of Lake Worth - Special Events Assistant

 This position is based on a 40 hour work week with an hourly pay of $14.50. This position will work at Leisure Services Beach Complex located at 10 South Ocean Blvd, Lake Worth, FL 33460.

SUMMARY:

This position is responsible for assisting in the coordination, implementation, marketing and promotion of all City special events.  Employee must be committed to the City’s vision of creating a community where everyone participates in community experiences that engage, inspire and enrich lives. Candidates must demonstrate a successful track record in event planning, marketing, sponsorships, as well as proven abilities in public/media relations, graphic design/publishing, staff/volunteer/contractor management, and budget accountability. The successful candidate is at ease working in partnership with other team members in a high volume, fast-paced environment. This position reports to the Leisure Services Director and/or designee.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Key responsibilities include: assisting in the development and execution of the annual special event marketing plan, including community needs assessment, manage event sponsorship sales and fulfillments; create, track and analyze advertising and promotional efforts; provide coordination and leadership for special events; manage media relations (print, television, radio, social media) and special event website pages; produce special event proposals, presentations and reports; assist with recruitment and retention of volunteers; and manage special event contracts. 
  • Assists in the coordination, planning, and implementation of existing City-wide special events, including but not limited to: Holiday Parade, Veterans Parade, Daddy Daughter Date Night, Easter Egg Hunt Celebration, and 4th of July Celebration. 
  • Responsible for the coordination of the Special Event Temporary Permit request process and ensuring that City wide special event policies and procedures are followed.
  • Will Assist with Supporting the Ballroom functions.
  • Promotes and advertises City-wide special events through newspapers, radio commercials, television commercials, flyers, posters, and public service announcements; designs, prepares, and distributes flyers and posters for special events.
  • Prepares press releases and articles for local newspapers, periodicals, and journals; places display advertisements for the recreation section in local newspapers.
  • Assist with the design and preparation of the department’s Leisure Service’s Guide; distributes Leisure Services Guides to all elementary schools, community parks, libraries, visitor centers, Chambers of Commerce, and preschools on an on-going basis.
  • Coordinates staffing and volunteers for all City-wide special events.
  • Designs and prepares departmental informational flyers; designs and prepares reports to the City of Lake Worth Commissioners on an on-going basis.
  • Maintains the special events budget.
  • Maintains an updated media list; maintains good relations with all media; maintains the departmental media scrapbook and photo scrapbook.

JOB STANDARDS:

An employee in this class is responsible for the marketing and promotion of all City activities, events, facilities and services. Studies community needs, develops long range and short range marketing initiatives, and promotes public interest and participation in City wide activities.  The work is performed according to the practices and procedures of the Leisure Services Department and the City of Lake Worth. Must be able to work weekends and have Rec Trac user Experience

 

EDUCATION AND EXPERIENCE:

This position requires an Associate’s Degree in Event Planning, Marketing, Business, Recreation, or a related field; minimum of Two years of implementing, coordinating, and managing special events; and proficiency with Microsoft Office. Experience with program and event flyer creation required.
